Application to e-sign without Word chaos

Tokenised applications, populated agreements and embedded signing so ops teams stop chasing document versions.

Many vehicle books still originate in a mess of PDFs, WhatsApp images and Word templates with fields filled by hand. Version drift creates legal and operational risk: the wrong schedule, an outdated clause, a signature on a document that no longer matches the decision.

Invitation tokens, not public spam funnels

Operator platforms often prefer invitation-only applications: you choose who applies, keep the relationship, and stay cleaner on POPIA marketing boundaries. A tokenised apply link lets the applicant complete chapters without a full staff login, with draft auto-save and virus-scanned uploads.

Documents and OCR as assist, not gospel

OCR on IDs, payslips and proof of address speeds capture and matching against declared data. Humans still decide. Extracted fields should be treated carefully for PII storage — encrypted, access-controlled, not dumped into world-readable logs.

Decision then populate

Once approved, the agreement should populate from application data and product rules — schedules, deposits, vehicle identifiers — rather than re-typed. That is how you eliminate “Word chaos.” E-sign (for example Firma) then captures initials, mandates and final signature in a controlled ceremony.

After the ink

Cooling-off tracking (where NCA rules apply), storage of the signed PDF in tenant-controlled storage, and removal from the signing provider where supported are part of a complete flow. Ops should see status without opening email threads.

What good looks like

  • One audit trail from invite → decision → signed contract ID.
  • No parallel “final_v7_really_final.docx” on a shared drive.
  • Customer and dealer status views that match the system of record.
  • Integrations stubbed safely in non-production.
